This Privacy Policy explains what information ClinicLink ("we," "us") collects, why, and how it's used. ClinicLink is a doctor directory serving the Dallas–Fort Worth area.
1. Information we collect
Account information. If you sign in with a magic email link, we store your email address. If you sign in with Google, we receive and store your email address and name from Google, plus an account identifier used to recognize you on future visits. We do not collect a password for either method.
Saved doctors. If you save a doctor to your account, we store that association so it's there the next time you sign in.
Appointment requests. If you request an appointment, we collect the name, email, phone number, and scheduling preferences you enter, and forward them to the relevant doctor's office. We do not collect symptoms, diagnoses, or other medical details — please don't include them.
Provider accounts. Physicians and practices that claim a listing provide practice information (bio, hours, insurance accepted, photos) and, for paid tiers, billing information handled directly by our payment processor, Stripe — we do not store full card numbers ourselves.
Usage analytics. We log click-level events (such as viewing a profile, tapping a phone number, or clicking through to a website) tied to a doctor, specialty, and city, used in aggregate to power our own analytics and provider-facing dashboards. We also use Google Analytics (GA4) to understand overall site traffic.
Cookies. We use cookies for basic site analytics, gated behind the cookie banner shown on your first visit — see Section 5.
2. What we don't collect
ClinicLink is not a healthcare provider and is not a HIPAA-covered entity. We do not knowingly collect protected health information (PHI) — medical history, diagnoses, treatment details, or insurance claim data — through any form on the Service.
3. How we use your information
- To operate your account and remember your saved doctors across visits
- To route appointment requests to the correct doctor's office
- To send you a sign-in link when you request one by email
- To notify a provider when a patient interacts with their listing (e.g., an appointment request)
- To measure site usage in aggregate and improve the Service
- To bill provider subscriptions, via Stripe
We do not sell your personal information.
4. Who we share information with
We share information with the following categories of third parties, only as needed to operate the Service:
- The doctor's office you contact — when you submit an appointment request, we send your provided contact details and preferences directly to that practice.
- Google — for Google Sign-In authentication and Google Analytics (GA4) traffic measurement.
- Stripe — for provider subscription billing.
- Our infrastructure providers — Supabase (database hosting) and Vercel (site hosting), which process data on our behalf and don't use it for their own purposes.
We do not share your information with data brokers or advertisers.
5. Cookies and the consent banner
On your first visit, we show a banner asking you to accept or decline non-essential cookies used for site analytics. Your choice is stored in your browser (via localStorage) and remembered on future visits. Declining disables the analytics cookies covered by the banner; a small number of strictly necessary cookies (such as keeping you signed in) are used regardless, since the Service can't function without them.
6. Data retention
We retain account and appointment-request data for as long as your account is active, or as needed to provide the Service. You can request deletion at any time (Section 8).
7. Children's privacy
ClinicLink is not directed at children under 13, and we do not knowingly collect information from them.
8. Your choices and rights
You can ask us to access, correct, or delete the personal information we hold about you by contacting us at the email below. Depending on where you live, you may have additional rights under applicable law (for example, Texas's data privacy law for Texas residents).
9. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
